1. Who we are
Elite Academy ("Elite Academy", "we") is run by its founders. Until the company is registered, the service is provided jointly by the founders, and these terms bind the company from the day it is registered. The company's details will be given here once it is registered.

2. What the service is
Elite Academy is a platform for youth football academies. A club (the "Academy") runs its teams in it; coaches, team administrators, parents and players use the mobile app, and club staff also use a web console.
The service has two layers:
- Management — teams, families, seasons, schedule, availability, attendance, call-ups, match recording, match photos, announcements, notifications, club identity.
- Development — the coach's voice note and feedback for each player, the player's growth loop (focus, reflection, sliders, optional voice note), the monthly development report, parent guidance, streaks and stickers, development timeline.
Some development features use AI — section 8 says how.
3. Definitions
- Academy / Club — an organisation running youth football that has signed an agreement with us.
- Club Admin — manages the whole Academy, mainly in the web console.
- Coach — runs one or more teams: selects squads, records matches, writes reflections and feedback, marks attendance.
- Team Admin — organises a team; does not select squads or write feedback.
- Parent — the adult with parental responsibility for one or more Players.
- Player — a child enrolled in the Academy. Has a profile from enrolment and a login only once the Parent activates it.
- User — anyone with an account.
- Content — anything a User puts into the service: text, images, voice recordings, crests.
- Reflection — a Player's own record after a session: rating, sliders, optional voice note or text.
- Feedback — a coach's remark about one Player, taken from a voice note, reviewed and sent by the coach.
- Report — the monthly development report assembled by AI from existing material, released only after the Coach approves it.
4. Roles and eligibility
- Staff and parent roles are for adults only (18+).
- A Player is a child. The Academy enrols them (name and date of birth only); the Parent is in charge of the profile. A Player under 16 uses the service on the basis of the Parent's acceptance of these terms and the Parent's consents.
- No child ever signs up alone. A Player's login exists only after the Parent generates an activation code. The Player chooses a username, never gives an email address, and can reset a password only through the Parent.
- Roles add up, and access follows assignment: a Coach or Team Admin sees only the teams they are assigned to.
- Elite Academy holds no role inside any Academy. When we act on an Academy's data we do so as a processor, on the Academy's instruction, and it is logged.
5. Accounts
- Accounts are created by invitation. Nobody creates an Academy on their own.
- Adults sign in with email and password. Players sign in with username and password.
- Keep your credentials to yourself. On a shared phone the adult signs out fully before the child signs in.
- You can close your account at any time. A Parent closing their account removes their Players from the Academy.
6. What is not allowed
Use the service only for the Academy's football activity. You may not: upload content you have no right to; upload a photo of a child outside your team (other than an ordinary match photo); try to reach another User's data, another team's data or a Player's reflections; harass, bully or discriminate; probe, scrape or reverse-engineer the service, or try to find out whether a given Player has a login.
7. Content you upload
7.1 Ownership and licence. What you upload stays yours. You give us a non-exclusive licence to host, process and display it in the service — only to the audience the service defines for that kind of content (7.5) — for as long as it stays in the service. We do not use your content for marketing and we do not sell it.
7.2 Club crests.
- A crest enters the service only from the Academy it belongs to. There is no crest database and no scraping.
- Whoever uploads a crest confirms they represent the Academy or act with the agreement of whoever is responsible for its brand.
- Consent A: the crest is shown in the Academy's own app. Consent B (separate): it is also shown on other Academies' fixture cards. Without B, others see a generated badge.
- Nobody uploads a crest for a club that is not their own.
- We never redraw or restyle a crest. Only its colours are read.
- Consent can be withdrawn at any time — the generated badge returns.
- Marketing use of a crest needs separate written consent from the club.
7.3 Match photos.
- Only a Coach, Team Admin or Club Admin adds photos. Parents and Players cannot.
- Only the families of that team see them. There are no public links.
- The Academy warrants it holds a current image consent from each family.
- A reported photo is removed quickly (7.6).
- No video, captions, comments or face tagging.
7.4 Profile photos. An adult may add their own profile photo; people in the Academy see it. A child's profile photo appears only with the Parent's consent, which the Parent can withdraw at any time — the photo disappears at once. Any photo can be removed at any time.
7.5 Who sees what — promises, not settings. Enforced in the database and part of these terms. No Academy setting or role changes them.
- A Player's reflection (recording, transcript, text): the Player only. Never a parent, coach or administrator.
- Chosen focus and slider readings: the Player and their coach.
- Feedback about a Player: the Player, the Parent and the coach who wrote it. Never an administrator.
- Team reflection: the team, its families and its staff. Never the club admin.
- Monthly report: the Parent and the coach; the Player gets a short, positive version.
- A coach's private note: its author only.
- Attendance, appearances, goals and assists: the Player, their Parent, the team and the club.
- Match photos: the team and the club.
- None of the above is visible to other teams or clubs.
Three rules are absolute: no administrator ever sees a Player's reflection or feedback; a coach sees effort, not words — the report never quotes the child; a Parent never sees reflection content in any form.
7.6 Reporting content. Anyone can tell us that content should not be in the service: hello@joineliteacademy.com. We act on a substantiated notice within [2 business days]; a photo of a child reported by that child's Parent is removed at once, before review. Team staff can remove any match photo at any time. We do not monitor content in advance.
8. AI features
- Coach voice note: AI transcribes it, tidies it and sorts remarks by player. The coach reviews, edits and only then sends.
- Coach private note: optional tidy-up; only the coach ever sees it.
- Player reflection: AI transcribes it and picks out themes. No person reads the raw content; only themes reach the report.
- Monthly report: AI assembles a draft from existing material. The coach approves or amends it — a report never goes out on its own.
- Parent guidance: chosen from the focus the Player picked, never from what the Player said in a reflection.
- Club colour: read from the crest; an admin confirms it.
The AI never: makes a decision about a child with legal or similarly significant effect; grades, ranks or selects a child; writes marketing; learns from children's content. A recording is deleted as soon as it is transcribed.
9. Fees
- The Academy pays for the platform and the coaches' AI features, by invoice, at the rates in the club agreement.
- The family package (report and parent guidance) will be a paid feature bought by the Parent in future. Nothing a Player sees, does or receives ever depends on whether anyone paid.
- Club fees (monthly fees, event fees) are set and collected by the Academy; online payment is handled by an external payment provider.
- The pilot is free.
10. Availability and changes
We do not guarantee uninterrupted availability. Material changes that reduce what a User can do are announced [30] days ahead. An account breaching section 6 may be suspended — after a warning where the breach allows.
11. Leaving
A User can leave at any time. An Academy leaves under the club agreement; on request we export its data and then erase it. We may end our work with an Academy for a material breach on [30] days' notice, or at once when the breach puts a child or the service at risk.
12. Liability
Nothing here limits liability that the law does not allow to be limited, including towards consumers. Towards an Academy, liability is capped at the fees paid in the previous [12] months. We are not liable for Users' content, subject to 7.6.
13. Complaints
To hello@joineliteacademy.com or by post; we answer within [14] days. Consumer rights are unaffected.
14. Law, language, changes
Polish law and Polish courts apply, without prejudice to a consumer's right to sue at home. The Polish version is binding; translations are for convenience. We announce changes in the app [14] days ahead; a change that materially affects a child's data is also emailed to the Parent.
